Introduction
The South Central Library System has established a dynamic ILL system for it's member libraries using the OCLC WorldCat Resource Sharing (WRS) systems features for patron initiated ILL requesting. This web site outlines how they set up the OCLC WRS system to create their process. Many, many thanks are owed to Pam Wittig, Susan Sanders and Beth Price and the rest of the SCLS ILL staff for their time and energy in creating and tweaking this set up.
Each library in the SCLS system acts as a "patron" in WRS. The ILL staff set up an account, using the "My Account" feature in WRS for each member library. Member libraries are then able to sign-in to their account to submit and view their ILL requests. Requests submitted by member libraries stop in the "Review file". That's a regular category in the "Request Manager" of WRS for the ILL staff to process. Or, if "Direct Request Profiles" and "Constant Data" are set up, requests may go directly to the first library in an automatically generated lender string without requiring ILL staff intervention.
The basic steps in customizing FirstSearch to meet their needs as an ILL consortium are:
Step 1: Set up a "Patron" account (i.e. "My Account") for each member library
Step 2: Set up the Patron ILL Request Form in the WRS Administration Module
Step 3: Set up a Constant Data Record for each member library in the Administration Module
Step 4: Set up Direct Request Profiles for each member library
Step 5: How SCLS notifies librarians of unfilled requests or requests that cannot be submitted
Step 6: Setting up Custom Holdings Groups and Paths. This is more an addendum. Custom Holdings are ideally already set up based on your libraries borrowing patterns before initiating this process.
On the following pages are screen shots of the various WRS forms configured for each of the steps listed above. You can decide what to adopt or change based on your needs.
SCLS, and now others, are constantly tweaking their set up to meet needs as they arise. This ability to customize forms coupled with efficiencies of the OCLC system make WRS a product that can grow and change as ILL needs do.
